How to respond to customer reviews, including negative feedback
Ogedex editorial team · · Read in Portuguese
Use specific, respectful responses and a private resolution path without arguing publicly or disclosing the reviewer’s personal information.
Ask for genuine feedback
Invite feedback after a real customer interaction when the person can meaningfully describe the experience. Do not manufacture reviews, write on a customer’s behalf or present incentives as independent praise. An honest response process matters more than an appearance of perfection.
A public reply should be useful to future readers without exposing the person who left the review. For sensitive services, even confirming the person’s relationship with the business may reveal private information; have the appropriate policy reviewed professionally.
Three responses to adapt
- Positive: “Thank you for sharing your feedback. We appreciate your visit and the time you took to write.” Add a specific non-sensitive detail only when appropriate.
- General concern: “Thank you for letting us know. We would like to understand what happened. Please contact our team through [business channel] so we can review it privately.”
- Unclear identity: “We would like to review your concern. Please contact [business channel] with the relevant details so our team can investigate.” Do not publicly demand identifying information.
Do not litigate the conversation in public
Pause before replying while upset. Review the facts internally and avoid publishing payment history, private messages or personal records to prove a point. A short professional reply and an actual investigation are more useful than a long defensive argument.
If content appears abusive or unrelated, use the platform’s supported review process. Do not hide legitimate criticism solely because it is unfavorable or imply that every negative review is fake. Keep evidence through an appropriate private process.
Organize follow-up in Ogedex
Ogedex includes business-page reviews and response administration. A review is not proof of a clinical result or an endorsement by Ogedex. Assign any private follow-up to a responsible person and record the actual resolution.
Test page and response behavior in an authorized setting before establishing a routine. Never create fake reviews on a real business merely to demonstrate that the feature works.
