How to use an appointment waiting list to fill canceled openings
Ogedex editorial team · · Read in Portuguese
Match a newly available slot with the client’s service, professional and availability, then confirm one reservation rather than promising the same opening twice.
Interest in a slot is not a reservation
A waiting list records people interested in a future opening. It does not guarantee a time. Explain that the team will check suitability and confirm an appointment separately if an opening becomes available.
Keep enough current information to make a useful offer: requested service, needed duration, professional preference and the person’s availability. Ask whether an old request is still relevant instead of assuming the client is waiting indefinitely.
Cancel first, then inspect the whole opening
Update the canceled appointment before offering its time to someone else. Check the actual usable interval, including preparation and professional eligibility. A thirty-minute gap cannot support a forty-five-minute service simply because the person is keen to attend.
Fictional example: one waiting client needs a longer service and another can attend a shorter one with the available professional. Review the compatible request instead of shortening the service to force the first client into the gap.
An offer that does not overpromise
“Hello [name], you asked us to let you know about an opening. We may have [date/time] with [professional]. Are you interested? Please reply so we can check and finalize the appointment.” Verify the recipient and keep sensitive service details out of ordinary notifications.
Recheck availability when the client responds. If contacting several people, prevent simultaneous promises for the same slot and make any response window clear.
Waiting list and walk-in queue are different
A waiting list concerns possible future openings. A walk-in queue tracks people already present. Keep the two workflows distinct so staff know who needs a message and who is waiting in the business.
Ogedex supports waiting lists, calendars and a walk-in queue. It does not guarantee an opening or autonomously distribute canceled slots. Staff must review availability and complete the accepted booking.
