Law office follow-up: organize the next step after a client meeting
Ogedex editorial team · · Read in Portuguese
Turn administrative meeting outcomes into assigned tasks and discreet follow-up without putting confidential case details into general reminders.
End the meeting with a next action
An administrative follow-up is easier when the office knows what needs to happen, who owns it and when it will be reviewed. “Follow up later” is not a usable task. Record a concrete next step, such as arranging another conversation or checking whether requested documents were received.
This is workflow guidance, not legal advice. Professional obligations, conflicts, deadlines and confidentiality require the office’s own qualified review. A general business calendar must not be treated as a specialist legal deadline system.
Record only what the task needs
Keep sensitive case analysis in the appropriate authorized record. A task notification or calendar title should not reveal a legal matter on someone’s lock screen. Use neutral administrative labels that still allow responsible staff to find the relevant private record.
Fictional example: reception needs to arrange a call, not read the whole case file. Assign the scheduling task with a date and contact method while limiting access to unrelated material.
A discreet contact template
“Hello [name], this is [person] from [office]. We are following up on our meeting. Is there a convenient time to speak about the next steps?” Verify the recipient and channel before sending. Do not attach confidential documents simply because a number matches an old conversation.
Silence is not acceptance of an engagement or proposal. Record the actual response and the next agreed action instead of marking the matter resolved because a message was delivered.
