Choose for the routine, not the label

Some solo businesses can manage with a simple calendar. Others need staff coordination, professional availability, client-facing booking and a clear history of changes. The relevant question is what the team cannot reliably see or update today.

The same problem can occur with messages, spreadsheets or an application: if commitments remain scattered, nobody knows which version is authoritative. Adding software without deciding the source of truth can create another competing record.

Test the situations you actually face

• Create a booking with the full service duration.
• Change one appointment without moving an entire recurring series.
• Check staff access and unavailable periods.
• Inspect the visitor’s confirmation and rescheduling path.
• Test exports, corrections and what happens if you stop using the tool.

Move in a controlled window

Fictional example: the team selects a future date after which all accepted appointments are maintained in the new schedule. They check the imported commitments and identify who records any late changes before that date. The old calendar becomes a reference, not a second booking source.

Verify names, dates, durations and professionals before opening public bookings. Do not assume that importing a contact spreadsheet transfers appointments, conversation history and every business rule. Keep a recoverable original export.
