Personal trainer scheduling: in-person, online and recurring sessions

Ogedex editorial team · · Read in Portuguese

Keep session type, location, recurring commitments and makeup appointments clear without confusing a booking calendar with workout programming software.

A session calendar is not a training prescription

Scheduling records where and when a session will happen. Exercise selection, progression and suitability remain professional decisions. Do not assume an appointment application provides workout programming, remote monitoring or a suitable health-record environment because it offers a fitness category.

Separate in-person and online services when their setup, duration or meeting instructions differ. The client should understand what is being requested before selecting a time.

Make location and duration visible

For an in-person session, check the venue and any time needed to reach it. For an online session, arrange the meeting link and connection instructions separately. A scheduling link is not necessarily a video-call room.

Fictional example: two one-hour sessions appear consecutive, but one is online from your office and the next is across town. The calendar needs unavailable transit time between them. Do not rely on the client to infer that a displayed opening cannot actually be used.

Recurring time and makeup sessions

  • Agree on the recurring day and time explicitly.
  • Record whether each appointment occurred, moved or was missed.
  • Review the scope before editing a whole series.
  • Keep any makeup session linked to the original administrative record.
  • Check payment or package balances separately from attendance.

Where Ogedex fits

Ogedex offers recurring appointments, blocks and calendars by professional. It can help organize commitments and payment records, but it is not presented as a workout prescription or video-conferencing platform.

Test one recurring session change using fictional data, then check what happens to the remaining series. Confirm public booking and staff views agree. The application currently uses Brazilian Portuguese; verify language and other market requirements before moving a real client schedule.
