Pilates studio administration: monthly payments and recurring appointments
Ogedex editorial team · · Read in Portuguese
Separate recurring reservations, attendance, makeup visits and monthly payment status before choosing a scheduling tool for your studio.
A recurring time is an administrative arrangement
Agree with the client on the actual day, time and format before creating a series. A recurring booking does not establish suitable exercise frequency or clinical care; those are professional decisions. Protect the unavailable periods and preparation time required by the studio.
Distinguish individual appointments from group-class capacity. A tool with recurring appointments is not necessarily a class roster, membership billing platform or learning system. Test the structure you need rather than relying on a category label.
Keep the monthly payment state clear
A client may have future reservations while a payment remains pending. Another may have paid but missed a visit. Record these states separately so the team can explain the balance without marking every booked session as completed.
Fictional example: four visits are scheduled, three occur and one is moved. The calendar, usage balance and receipt history should each reflect what actually happened under the agreed arrangement.
Clarify makeup arrangements
- Communicate the actual change process in advance.
- Check whether one occurrence or the whole series is being edited.
- Review professional, space and duration before offering a replacement.
- Keep the original record rather than erasing the absence.
- Do not create a second sale when recording a payment against an existing balance.
Evaluate the supported Ogedex workflow
Ogedex offers recurring appointments, package administration and business payment records. It does not automatically collect a monthly bank payment or guarantee support for a group-class attendance workflow.
Test with fictional clients and the studio’s real administrative scenarios. Clinical intake, exercise suitability and market-specific privacy obligations need separate professional review; the Brazilian application is not a verified US healthcare solution.
