How to schedule property showings without overlapping visits

Ogedex editorial team · · Read in Portuguese

Plan the agent’s day around visit duration, property access and travel rather than filling every gap with another showing.

Availability has several parts

An agent, property and visitor all need to be available. The showing also needs enough time for travel, arrival and the expected conversation. A free slot in one person’s calendar does not establish that the entire visit can happen.

Maintain one schedule the authorized team can trust. Changes agreed by phone or message must reach that schedule; otherwise someone else may offer a time that is already committed.

Plan the sequence, not isolated times

Fictional example: one visit ends at 3:00 p.m. and the next property is forty minutes away. A 3:15 p.m. start is not supported by that plan. Add a realistic buffer and confirm the visitor’s expectations before reserving the time.

Travel estimates are not guarantees. Review the sequence if the first visit runs longer, access changes or another participant cannot attend. Avoid moving a confirmed visitor silently to protect a later appointment.

A showing checklist

  • Confirm the property and authorized access arrangements.
  • Choose the responsible agent and full expected duration.
  • Protect transit time between locations.
  • State the meeting point clearly.
  • Review adjacent visits when rescheduling.
  • Record the agreed next contact after the visit.
  • Tell the visitor promptly when a material detail changes instead of relying on a calendar update they may never see.

What Ogedex can organize

Use calendars by professional, blocks, CRM and tasks to track accepted visits and their next steps. The real estate booking flow can route requests for approval before they become accepted commitments.

Ogedex does not obtain keys, validate listings or optimize routes. Test two fictional visits and a reschedule, checking both the public result and the staff schedule. Do not place private entry instructions or prospective clients’ personal details in public page content.
