How to reduce appointment no-shows with confirmation and rescheduling

Ogedex editorial team · · Read in Portuguese

Measure missed visits, make changes easier and review the outcome without promising that reminders will eliminate no-shows.

Measure before changing the routine

Separate no-shows from cancellations and reschedules. Count appointments using the same definitions each week so you can see what actually changes. A busier week does not necessarily mean the confirmation process improved.

Record a missed appointment after checking the situation, not merely because a client has not replied to a message. A confirmation response and attendance are different events. Avoid claiming any reminder guarantees that someone will arrive.

Make the action clear

A useful confirmation states the actual date, time and location and explains how to request a change. Choose a contact time that gives the team a reasonable opportunity to reorganize the day. Review recipient details and message content before sending.

Fictional template: “Hello [name], checking your appointment for [date] at [time]. Please use [appointment link] to confirm or request a change according to our booking rules.” Test the link before adopting the template.

Use cancellations without double-promising a slot

  • Cancel the original appointment in the schedule first.
  • Check the full newly available duration.
  • Offer it to a compatible person on the waiting list.
  • Recheck availability when that person replies.
  • Confirm only one booking for the opening.

Review what helped

Compare missed visits, timely cancellations and successfully refilled openings. Ask whether clients could understand the change process rather than simply sending more messages. Keep health-related reminders discreet.

Ogedex provides appointment links, a waiting list and staff scheduling tools. QR-based WhatsApp sending currently requires human action under the supported connection conditions; it is not an autonomous reminder service. Track the results of your own process and do not treat a prepared message as proof it was sent or received.
