How to organize makeup lessons without confusing the calendar
Ogedex editorial team · · Read in Portuguese
Keep the original lesson, absence and replacement appointment clear so a single change does not rewrite the learner’s recurring schedule.
A makeup lesson needs its own record
When a lesson is missed or canceled, record what happened before arranging a replacement. Deleting the original entry can make it appear that the lesson was always scheduled on the new date. That weakens the history needed to explain attendance and balances.
The agreement between tutor and learner determines whether a replacement is available. Communicate the administrative arrangements clearly; this guide does not establish a universal right to a free makeup session or a cancellation charge.
One change should not move the entire series
Fictional example: a learner normally attends on Tuesdays, but one lesson moves to Friday. Check that you are changing only the intended occurrence. Confirm next Tuesday still appears where expected and that the original Tuesday is no longer offered as a duplicate commitment.
Review the replacement’s full duration, location and tutor availability. An empty-looking gap may include preparation or travel. Do not shorten the lesson without agreement just to fit it into the calendar.
A message to adapt
“Hello [name], we can check a replacement for the lesson on [original date]. Would [proposed date and time] work? Please reply so I can verify availability and confirm.” This is an offer, not a confirmed reservation.
After the reply, check the slot again and update the authoritative schedule. If a parent coordinates the booking, use the authorized contact rather than sharing learner details in a group.
