How to reconnect with inactive clients without sending repetitive messages

Ogedex editorial team · · Read in Portuguese

Define inactivity for your business, review the last contact and send a useful, respectful follow-up rather than assuming every absent client wants to return.

Define inactive in context

A client who visits infrequently is not necessarily lost. Different services have different rhythms, and some clients have already booked a future visit. Set an administrative review window based on your actual routine instead of treating every old record as a marketing opportunity.

Check whether the client has declined contact, changed providers or already received a follow-up. Respect communication preferences and keep the recipient list accurate. Do not expose the list to other clients.

Review before writing

  • Check the last completed visit rather than only the last message.
  • Look for future appointments and unresolved questions.
  • Verify the contact details and previous outreach.
  • Choose a useful reason to contact the person.
  • For health-related services, avoid naming procedures in ordinary messages.

Two messages to adapt

A general check-in: “Hello [name], this is [person] from [business]. If you would like to arrange another visit or ask a question, our team can help.” A follow-up after an agreed discussion: “Hello [name], checking whether you need any clarification about the next step we discussed.”

Use these only where contact is appropriate. Do not invent scarcity, imply an existing booking or make repeated attempts simply because there was no answer. If the client declines, update the record and stop that follow-up.

Use prepared follow-up, not assumed automation

Ogedex can organize inactive-client review, tasks and prepared messages. Current QR connectivity requires human review and sending action under supported conditions; it is not an autonomous reactivation campaign.

Track useful replies, bookings and requests not to be contacted. A sent message does not prove a client returned, and a booking does not prove a completed visit. Review outcomes without promising that any template guarantees retention.
