Tattoo booking: flash appointments vs. custom projects
Ogedex editorial team · · Read in Portuguese
Separate tattoo inquiries, artist review, quotes and confirmed sessions. Build a booking flow that does not treat every message as a ready-to-book project.
Not every tattoo inquiry is ready for the calendar
A flash design with artist-defined conditions can have a different booking process from a custom project that still needs references, placement, scope and a quote. One unrestricted 'book a session' button may not be the right starting point for both.
Before offering a session, confirm that the artist has accepted the work and determined the expected time. A scheduling system should not estimate complexity, session count or technical suitability from a reference image on its own. Artist review remains a separate step.
Keep inquiries, approvals and reservations distinct
- For flash work, document which options are fixed and which require artist review.
- For custom requests, record the inquiry and the next action before reserving session time.
- After quote approval, confirm artist, duration and communicated booking conditions.
- For multi-session projects, agree on each session with the artist rather than applying a universal interval.
- When the scope changes, reassess the reserved time before keeping the original booking.
An example studio workflow
A fictional client sends a social-media message about a custom piece without a decided size. The next step is reviewing the request, not blocking four arbitrary hours. After the artist clarifies the project, staff can offer a suitable opening.
Another client may choose an approved flash design with a defined booking option. Even then, the public description should explain what the appointment covers. The booking page must not imply that every uploaded idea has already been accepted. Keep deposit policies separate from the technical approval of the project.
How Ogedex can support the handoff
Use CRM records and tasks for requests still being discussed, then the calendar for agreed sessions. Configure service durations and check the available approval settings before sharing a public booking page.
Ogedex does not generate tattoo designs, infer session length from references or process the customer's deposit payment. Recording that a payment was received is different from collecting it online. Test the entire inquiry-to-reservation handoff with fictional information before relying on it for live bookings.
