How to track customer balances and partial payments without losing the history
Ogedex editorial team · · Read in Portuguese
Record what remains due by customer, connect each receipt to its original sale and check the balance before sending a discreet payment reminder.
The record belongs to the customer and original sale
A conversation saying “pay later” is not a complete balance record. Identify the original service or sale, total amount, money received and remaining amount. Keep agreed administrative next steps visible to authorized staff without exposing the debt publicly.
This guide describes record organization, not debt-collection rights, interest rules or legally permitted fees. Those require qualified local advice and the actual agreement. Do not add a charge simply because a template suggests it.
A partial payment changes the balance
Fictional example: an original balance is 70 units and the client pays 30. The remaining amount becomes 40. That receipt is part of the original sale, not a new 30-unit service.
Before recording or requesting another payment, check whether someone else has already updated the record. Duplicate entries can make both the client statement and the cash close inaccurate. Retain the correction history rather than creating another record to hide the error.
A reminder to adapt carefully
“Hello [name], we are reviewing our records and show an outstanding balance of [amount] from [date]. Could you check? If you have already paid, please let us know so we can verify and update the record.” Check the person, amount and communication arrangement first.
Do not disclose sensitive service details or discuss a balance in a public group. If the amount is disputed, review the supporting records before continuing.
